BABSCON party room playbook
This is a How-To playbook for how to set-up and run the BABSCON BT party room. A point person or coordinator with credit card is needed to book the room in the first place, but as more people plan to go, they can contribute to pay for the room ( perhaps even crash there).

Run-up months
Post on BTL, MANE, DISCO everywhere we are going, general schedule Thursday to Monday check out.
Coordinator checking in with facilities con rep. To ensure we have the party room
Book travel and room(s) if not crashing in/ contributing to party room
People will respond, get a starting head count, determining if they will sleep in the party room, or get a room and possibly roommate of their own.
Decide on drinks menu for the year
can stake claims to DOOR, BAR, and ROOM Shifts. Definitely do this once the CON Schedule proper is released

Hotel Bell carts are for hotel staff/ bell hops only. It is customary to tip
Thursday: Meet in Lobby. Those with personal rooms can check-in like a normie. Party room residents congregate into a stumble
Non driving travelers arrive from airport shuttles, can leave bags with bell
Locals with cars, park in garage, bring small items/ personal bags
Garage is 4 floors with elevator, separate building and elevators from hotel building and elevator
ADA ramp on 1 (relatively narrow passage, move nothing larger than ~3’ x 3’ x 5’ tall)
causeway bridge on 4 but has no ramp and 4 steps to go from elevator landing to hotel atrium floor level and hotel elevators.
Check in, get keys. Flag down tubers in lobby/ via IM
With keys in hand, and distributed to veteran principals, can take stumble with bags to room(s) drop off personal belongings in side rooms. Claim beds...
Split into 3 teams:
Booze Run (2 -3 tubers, including SOBER driver/local with a car with room, and one willing to pay for hefty booze costs). This may have to wait until local’s car(s) is/are empty. Could also do via Uber/ rental car. DO NOT DRINK AND DRIVE. WE WILL KILL YOU.
Empty Car(s) (half of remaining stumble) Schleping stuff from cars to room. Drop off in side rooms or main room bar area or dining table. (Rest of furniture will move/ stuff will be in the way) Again, best judgment with routes, people carrying things in arms, loading up a hand truck. Some items fragile, defer to owner for handling. Prioritize the plastic covering. Can use empty ice chests to schlep, but booze team may want to take it for ice on their run.
Move Furniture/ Cover Floors (other half of remaining stumble) remove glass tops from coffee and side tables, stow in side rooms. In 2062 Joint couches disconnect and swap positions, allowing a path between them to the entry way/ bathrooms/ side room 2066. Coffee table goes under stationary lamp by door to 2066, flush to the couch. Moveable lamps go to corners of room by windows
The side board behind the couch becomes the main bar for the bar, but hold off on putting it in its proper place - that inhibits movement of tubers into bar/ kitchen
Around now team can start laying plastic covering. Start by windows with no furniture by them. Go in long strips. One person anchors the end of the roll, another pulls out as far as possible, third person is laying flays, minimizing clumping, and they are using the box cutter to cut strips. Perfectly fine to go up walls and fur attire feet - can also go under furniture if moved/ out of the way/ not a hassle.
Cover every inch of carpet, over the base of the dining table, just over lap into (but not completely) the kitchen/ bar, bathroom, and into the closets and other rooms. No need to continue in to the other rooms.
Timing if all goes well...
Car(s) unload completely and booze team takes off to stores, Hitting costco first for not-so-perishables in bulk north by the airport, then BevMo and Safeway in Burlingame (going past the hotel, no need to drop off if there’s room in car).
Costco: basic booze in bulk. Can buy more perishables now, but nothing like ice.
Handles of basic booze, family size+ snacks (chips, pretzels (w/ peanut butter in ‘em), popcorn, cheeseits, crackers,) stuff for breakfast (pancakes for forge), beer, those great muffins, solo cups if not already bought (2 giant multi-stacks, like ~200 cups) stack of paper plates, napkins, silverware, if not already bought. Ping pong balls for pong. Drinking pomegranate juice. If there’s a gimmick speciality this year and stock seems low, buy it again and again at all spots like Kirin beer for 2019
in some crazy world we’d have some active inventory system keeping track of stock in room. Oh well
BevMo: specialty booze, flavored booze according to recipes
SafeWay: miscellaneous other stuffs couldn’t be found at other store, or didn’t make sense to buy in buy. At Least 40 Pounds of ICE here for clean drinking ice (i.e. in bags). Celery. Sandwich fixings

Be in touch with stumble back at room on IM/ phone. When leaving Safeway Burlingame put out APB to all tubers to help unload stuff from cars. driver will decide to drop off at hotel front door, then go park, or simply park near garage elevators or as close as possible.
MEANWHILE...
Unloading team unloads cars and furniture teams moves furniture and plastics floors. These two teams essentially fold back into each other.
With plastic down and couches moved AV and Berry-FI Networking set up deploys. Additional displays on Dining table and floor stand to right of hotel TV. Speaker stereo pairs run to dining room table, to the bar (cable up and over the door to 2066 with gaff tape) and each couch gets their own pair behind sitter’s heads ( so swapped positions when looking at the couch and wall from the front, correctly oriented when seated. Run cables to amp hugging wall as close as possible. Alternatively, cables can get run directly, then covered with additional painters plastic. Ensure no one will trip, and no walking or moved chair/ convertible couch bed/ cot, or chair will damage the cable. Plastic only protects against spilled drinks.
Ethernet cables runs from computer at front of room along windows and wall, under the dining table, into the neighboring room 2066 where the AP/router/ switch/ networking stack lives. Open Tube on conputer, can toggle to plex. Tube on for parties.
Plug in fans/ dehumidifier around corner from bathroom in entry hall
Post no shitting signs and bar menu signs.
Assemble and position props like deskfk and flags. Blow up balloons?
Others tubers can start gathering ice from hotel ice makers. Take ice chest and the room’s ice bucket. If the hotel’s already hoping other party rooms may be doing the same, start at the top of the hotel and work your way down.
If it’s getting on and timing is fine, coordinate dinner for tuber in room like Pizza delivery (or send a tuber with a car/ Uber to get like 2 dozen In’n’Out burgers and fries 🏝🍔🍟) now so it arrives in an hour or so when folks are really hungry

Thursday Night
Not an official party night, so let’s party amongst the tubers. Beer pong is on, using the bar where ever space can be found.
Sample drinks on the planned menu. Record adjustments as needed.
Friday Morning
Nurse the hangover. Go to church. Actually enjoy the con.
Do let the housekeeping staff come through and clean bathrooms, empty trash, make beds.
Some one take inventory of booze, pray we need not go shopping. If we do, small team go shopping when/while we’re sober. Maybe get breakfast/ lunch too
Coordinator can meet with FLARE to double check rules and continue our strong positive relationship with all parts of the CON
Eat what when you want, stick to 621.. also sleep 7 hours eat 2 means and take line shower
Friday afternoon into evening
Call meeting of tuber to go over party rules and confirm assignments and shifts
Party Rules to be enhorsed by all (tl;dr)
No one admitted to party under age of 21. Must present Valid Gubberment ID to door(wo)men/man/person, get a wristband
No booze in or out. Only empty vessels coming in or going out (except for water - hail hydrate). Be on the look out for bootleggers pouring their own booze into cups from flasks
No weed, no smoking, no vaping
No PDA, no harassment
You consent to being photo graphed and records
First shift Bartenders makes first batch of drinks, build bar, others top off ice, others run to dinner and pick something up for those working esp. first shift
Party nights
Parties run 8pm (2000) - 2am (0200) local time Friday into Saturday and Saturday into Sunday, so three 2 hour shifts per assignment per night

Roles
ALL are enhorsing party rules, keeping tab on people who’ve had too much, need water, are being harassed, or having a bad time. We are here form PFB, sharing this fine website and community with those who may not know. generally we’re the chillest of parties. Tell folks to take it to /horse/.
Remain functional when on shift; Maintain a drink intake somewhere between just less than two drinks 🔺 and perhaps less than two shots of vodka.

Doorman / “Bouncer” (2 per shift) checks IDs and con badges (must have con badge for that night/ all weekend; no Sunday only’s, no kids badges) coming in, prevents non-water from coming in or going out. Keeps door closed to comply with hotel rules. Do let FLARE in if they are decked out in FLARE gear and have radios.
If there’s no room and a line is forming, ping Room to cycle folks out (play something to clear folks out, ping other tubers to check out other parties). Not sure there’s an a official capacity limit, but Room and Door will keep tabs on that.
Room is keeping a general eye on party goers such that the rules are followed and more importantly people are having a good time. Encourage the hailing of hydration. Check on folks passing out, send them home.
Demo how BT mane functions with video player, drink counter, chat, emotes, requests, polls. Encourage folks to log in on mobile (cellular, hopefully not nearby hotel APs, def. not Berry-FI) and chat/ emote/ request/ vote (if only to give them the impression of voting)
Don’t stop folks singing along, but Keep an ear on volume. Giving a shush as needed when night gets late (but don’t be a dick). Room also controls the conputer, has the remote keyboard and volume control in hand. Can raise/ lower when needed. Keep an eye on playlist of earrape to preempt lowering volume. Certainly type chat/ emotes/ requests on behalf of room.
Mods running games may ping this conputer account for request/ abus on behalf of room; feel free to shush the room, give a spiel about how/what tube is, how this works, what people want to vote on to watch. Use discretion to keep folks in room - play the classics/ fan favorites lie MMC over something like RDP.
In case of AV or networking issue, hit up owner or other tube vet. In case of total network failure, roll either RR or HM from local plex
Check on bar if they need extra hands or an ice run. Delegate such task(s) to a tuber off shift.
The Friendly Bartender (2 per shift) serve drinks or cut folks off and direct the to water. Can certainly give a cup for water, with ice even. Write name/ descriptions of person on cup, Fill cup with ice, dispense drinks over ice, serve over bar. IF they donate, thank them! Use discretion with tuber-only drinks, baloney sandwiches, celery, and standard/ custom requests - can spare some basic booze for a simple cocktail, but do not let it prevent the creation of a new batch of menu items.
Serve Muffins at muffin time.
ONLY WATER DURING CR WATER BREAK
If needed make more of a beverage when there’s not a line/ crowd for drinks. Use a solo cup for equal parts measurements. Push stuff that’s not going as fast.
Prior to party
Tune conputer into Tube. Stash personal items, bags, blankets, sleeping needs in side rooms. If it’s in the party room 2062 it could potentially get covered in booze or puke RIP pimpDaddy bear
10-5 minutes prior to party
Close and lock doors to side rooms from both sides
EVERYONE OUT OF ROOMs for ID check
First shift doorfolks check IDs of everyone going back into the party room
8PM Friday - Party officially open
9PM Friday - Drinking Telegram - salute - games begin

Tubers can station themselves by the windows/ TV then corral folks out the door, singalong to bugger off
At the consensus of the tubers, esp. those sleeping in the room... deploy beds, keep drinking, order food, perhaps you end up at Denny’s,

As drunks are finished wash the tanks with soap and water in the tubs. Showers, dry,
Save with ice chests dumo ice in tub dry out
Polish off open half empty bottles, NO FALLEN SOLDIERS
Monday (or Sunday if check out day)
Reverse of load in, all break down, pack up, pull plastic (leave in hall for trash collection), rearrange furniture, box stuff up
Take loads out to the car, desk fuck first
Then boxed up stuff
